How to set up online appointment booking for a salon or service business

Plan services, duration, working hours and booking rules so customers can choose valid appointment times without creating scheduling conflicts.

Online booking works well when the calendar reflects how the business actually delivers a service. A list of random time buttons is not enough.

The booking system needs to understand service duration, working hours, unavailable periods and existing appointments before showing a slot to a customer.

Define each service clearly

Give every service a clear name, price, duration and description. Explain who it is for, what is included and whether the customer should prepare anything before arriving.

Duration matters because a 20-minute consultation and a 90-minute treatment cannot use the same calendar logic. Add realistic preparation or cleanup time when the business needs it.

Set real operating availability

Configure the days and times the business accepts appointments. Exclude weekly closures and block holidays, breaks, travel or private commitments.

Use booking notice to prevent last-minute requests the team cannot prepare for. Use a future booking horizon so customers do not reserve dates further ahead than the business can confidently manage.

Prevent overlapping appointments

A valid slot must fit the complete service duration and any buffer. Once an appointment occupies that period, another customer should not be offered an overlapping start time.

Test boundary cases such as the last slot of the day, a service that crosses a break and two services with different durations.

Collect only the information you need

Ask for the customer's name and a reliable contact method. Add optional notes when they help the service, but avoid collecting sensitive personal information without a clear purpose.

Show the selected service, date, time, duration, price and timezone before confirmation. A clear summary reduces mistakes and follow-up messages.

Connect completion to customer and sales records

After a confirmed appointment is delivered, mark it complete and record the associated sale or invoice. This keeps service activity, customer history and business reporting aligned.

If the customer cancels or the business reschedules, update the appointment state so the calendar and operational record remain accurate.

Decide between strict and flexible booking

A strict calendar only offers times when an eligible person is genuinely free. It suits salons, clinics-style studios and repair counters where two customers at the same moment would cause a real problem. A flexible calendar treats the chosen time as a preference that the business confirms, which suits home visits, events and consultants whose day depends on travel or preparation.

In vkRetA the business chooses the mode. Strict mode checks staff eligibility and existing reservations before a slot appears, while flexible mode accepts the request and leaves the final time for the business to confirm or reschedule.

Link staff to the services they perform

When several people work in the business, not everyone performs every service. Record which staff member can deliver which service, and mark leave or unavailable periods before customers book.

Customers usually choose the service and time, not the person. The system should still check that someone qualified is free for the whole duration, including any buffer.

Share the booking link and reduce no-shows

Put the same booking link in your WhatsApp Business profile, Instagram bio, Google Business Profile and printed cards. One link means customers always see current services and prices instead of an old screenshot.

Confirm requests promptly, send a reminder the day before in the channel your customers already use, and state your cancellation expectations in plain words on the website. Customers can cancel before the appointment starts, which frees the slot for someone else.

  • Add services with price, duration and buffer
  • Set working days, hours, notice and how far ahead people can book
  • Block holidays and breaks
  • Link staff to eligible services
  • Publish the website and test a booking from a phone
  • Complete each appointment so the invoice and customer history are recorded

Frequently asked questions

How does an appointment system prevent double booking?

It removes times that overlap existing appointments, blocked periods, service duration and required buffers before showing availability.

Can a service business keep Sundays unavailable?

Yes. Weekly operating days and one-off blocked periods should both control the slots customers can select.

Do customers need to pay online to book?

Not in vkRetA. Online payment collection is not active today, so customers request an appointment and the business collects payment in its usual way when the service is delivered.

Is appointment booking included in the free plan?

Yes. Services, availability rules, appointment requests and invoices for completed appointments are part of vkRetA Free, within its limit of 25 products and services.
