An invoice should make a sale understandable to the customer and traceable to the business record. Preparing invoice settings once reduces missing details during day-to-day billing.
This article is a practical product checklist, not tax or legal advice. GST applicability and classification depend on the business, supply and current law, so confirm uncertain treatment with a qualified professional.
Configure the seller identity
Use the legal or trading name consistently. Add the business address and GSTIN when applicable. Seller state and state code help support the selected tax presentation.
A readable logo can strengthen recognition, but it should not replace the written seller name and required information.
Use controlled invoice numbering
Invoice numbers should be unique and sequential within the chosen numbering system. A financial-year prefix can make records easier to organise, but the server should create the next number so two users cannot accidentally issue the same invoice.
When an invoice is corrected, retain the identity of the original document and record the revision rather than silently replacing history.
Capture customer and supply details
Record the customer name, mobile number and address when the business needs them. Include customer GSTIN and place of supply when applicable.
Collecting customer information creates a privacy responsibility. Ask only for what the transaction or legitimate business process requires and protect access to it.
Describe every line item
Each line should identify the item or service, rate, quantity and amount. Add the correct HSN or SAC and GST rate where applicable. If the displayed selling price includes GST, calculations need to extract the taxable value and tax without changing the agreed customer price.
Discounts should be calculated consistently and the final amount should reconcile to the line values. Use paise-based calculation internally to avoid floating-point rounding errors.
- S.No. and item or service description
- HSN or SAC where applicable
- GST rate and tax treatment
- Unit rate, quantity and line amount
- Discount, taxable value, tax and gross amount
Finish with terms and payment information
Add concise terms that genuinely apply, such as an accurate return window. Include UPI, bank or QR payment information only when configured by the merchant and omit empty fields.
Preview a one-page and multi-page invoice. Check wrapping, table headers, totals, amount in words, logo quality and printing on A4 paper before using the template with customers.
Frequently asked questions
Can product prices be GST inclusive?
Yes. When a price is treated as GST inclusive, the taxable value and GST can be extracted from the final discounted amount.
Should every small business charge GST?
Not necessarily. Registration and tax treatment depend on the business and current law. Confirm the position with a qualified professional.
